Who this notice covers

This notice explains what happens to personal information when you read the Tiny Wind Horizon website, write to us or call us. Tiny Wind Horizon is a small independent consulting practice that works with leadership teams in Japan on strategy, organisational structure and specific decisions. The practice is registered at 〒798-0036 愛媛県宇和島市天神町3丁目8-1 (3-8-1 Tenjinmachi, Uwajima, Ehime 798-0036, Japan).

We have kept the notice short on purpose. If something here does not match what you see on the site, tell us and we will correct whichever side is wrong.

What the website itself does

The pages are plain static files. There are no user accounts, no shop, no comment boxes and no login. The site does not run analytics, advertising or tracking scripts, and it loads its fonts, styles and scripts from our own domain rather than from third-party services.

The server that delivers the pages may keep ordinary technical logs, such as the IP address, the time and the page requested, because most web servers do. We do not use those logs to identify or follow individual visitors.

What you send us

When you write to us, we receive what you choose to include: usually your name, your email address, an optional telephone number and the text of your message. If you call, we may note your name, number and the subject of the call so that we can reply.

A first message does not need documents, identity papers or details about people who are not part of the conversation. Please describe the question in general terms and leave confidential material, personal data of employees and financial records until we have agreed how to handle them.

How the contact form works

The form on the contact page and in the “Send us a note” window does not send anything by itself. Pressing the button opens your own email application with a message already prepared from what you typed. You read it, change it if you wish and send it yourself.

Because of that, the website never stores or transmits what you typed into the form; the message only exists on your device until you send it, and from then on it is an ordinary email between your mail provider and ours. If no email application opens, write directly to info@tinywindhorizon.com. The consent box is a browser requirement for the form; the site does not record your tick.

Cookies and local storage

We do not set cookies. When you press “Got it” on the notice at the bottom of the page, the site saves one small entry named “ta” in your browser’s local storage so that the notice stays hidden on later pages. It holds the word “accepted” and nothing that identifies you.

You can delete the entry at any time in your browser settings; the notice will then appear again. The entry is not read by any other service.

Why we use personal information

We use what you send us to answer your message, to judge together with you whether an engagement would make sense, to prepare a written scope, to carry out and document work that you have commissioned, and to issue invoices and keep the accounting records that the law requires.

We do not build profiles, we do not buy contact lists and we do not add you to a mailing list unless you ask us to. A question about our services will not turn into a stream of marketing email.

Information during an engagement

Engagements involve interviews, internal documents and written drafts. That material belongs to the client’s organisation. We handle it under the confidentiality terms agreed in writing for that engagement, we ask clients to share only what the question needs, and we name people in a deliverable only where the scope says so.

If you are a member of a client’s staff and were interviewed, your employer is the party that commissioned the work; you can still write to us about how your own information was handled.

Who else sees it

We do not sell or rent personal information, and we do not pass it to other businesses for their own use. The email and hosting providers we rely on process messages and web requests on our behalf, and their servers may be located outside Japan. Beyond that, information is disclosed only with your consent or where a law or an authority with power to compel it requires us to.

How long we keep it

We keep an enquiry for as long as it is needed to answer it and to follow up on what was agreed. An enquiry that does not lead to an engagement can be deleted on request, and we review such messages from time to time. Engagement records and invoices are kept for the period that accounting and tax rules require, and then deleted.

How we protect it

Messages arrive in a business mailbox that only the practice’s own account can open, and engagement files are kept in our own working storage rather than on this website. We take reasonable measures to prevent loss and misuse, but no method of sending information over the internet is completely secure; for sensitive material, ask us first how it should be sent.

Your rights

Under the Act on the Protection of Personal Information you may ask us to tell you what personal data we hold about you, to correct it, to stop using it or to delete it. Write to info@tinywindhorizon.com or to the postal address below and say what you would like us to do. We may ask you to confirm who you are first, and we will reply in writing as soon as we reasonably can.

If you are unhappy with our answer, you can also contact the Personal Information Protection Commission of Japan.

Children

The site is written for people who run or advise organisations. It is not directed at children, and we do not knowingly collect information from them.

Changes to this notice

If the site starts to do something that changes the picture above, for example a third-party service or a form that stores messages, we will update this page before it goes live. The date at the top shows when this text was last revised.
