The habit of writing before speaking is not natural in most organisational cultures. Meetings are where thinking happens, not where it is reported. Tiny Wind Horizon works the other way around, and the difference is worth explaining.
01 What happens when the meeting is the thinking
When a group wants to think through a problem together, the quality of the outcome depends heavily on who speaks first, who speaks most, and who is most comfortable in a meeting room. These factors have nothing to do with who has the best understanding of the problem.
The person who speaks first anchors the discussion. The person who speaks most shapes the direction. The person who is least comfortable in meetings contributes least, regardless of what they know. The written document corrects for all three of these distortions.
02 What the document does before the meeting
A written document circulated before a meeting gives every participant the same starting point. It externalises the thinking so that the group can respond to it rather than produce it in real time. It allows people who process information slowly or who are less comfortable speaking in groups to form a view before they are asked to express it.
It also makes the meeting shorter. When the document has been read, the meeting does not need to cover what the document already covers. It can focus on the places where the document is wrong, incomplete, or where the group disagrees with the recommendation.
03 The discipline of writing precisely
Writing a recommendation precisely is harder than presenting it. Vague language is easier to hide in speech than on the page. The discipline of writing forces the consultant to be specific about what they are recommending and why, which is where most of the value in the engagement actually lives.
Clients occasionally push back on the written-first approach, usually because they are used to a more iterative process. In our experience the pushback tends to fade once the first document has been read and the meeting that follows it shows the difference.
The meeting is better when the thinking has already been done. That is the whole point of writing first.
